The challenge

Why business migrations go wrong

Moving email and files to the cloud looks simple from the outside. Most of the problems come from what is already in place — and from what gets copied across without anyone checking it.

Scattered starting points

  • Email spread across a hosting provider, Google Workspace or an old office server
  • Files on shared drives, external disks and personal cloud accounts
  • A different sign-in for every system
  • No clear record of who has access to what

Security gaps carried across

  • Over-shared folders and old permissions copied straight into the cloud
  • Multi-factor authentication left optional
  • Legacy sign-in methods still switched on
  • Missing SPF, DKIM and DMARC records, so mail is easier to spoof

Disruption on cutover day

  • Email delayed or bounced while records change
  • Phones and Outlook profiles that stop syncing
  • Shared calendars and scan-to-email breaking
  • Staff unsure where their files went

Paying for the wrong things

  • A licence tier that does not match how people actually work
  • Seats still billed for people who have left
  • Separate tools for things your plan already includes
  • No backup beyond the built-in retention
Migration services

A migration path for every starting point

Whatever you are moving from, the approach is the same: inventory first, a written plan you approve, a pilot, then a scheduled cutover outside working hours.

Google Workspace to Microsoft 365

Gmail, Calendar, Contacts and Drive moved across, with folder structure and sharing carried over.

Hosted email to Exchange Online

POP and IMAP mailboxes from web hosts, cPanel or internet providers, consolidated with their history intact.

On-premises Exchange to Exchange Online

Cutover or staged migration from a server in your office, including shared mailboxes and public folders.

Tenant-to-tenant migration

Mergers, acquisitions, rebrands and splits — mailboxes, files, domains and identities moved between tenants.

File servers to SharePoint & OneDrive

Shared drives restructured into SharePoint sites and libraries, with a permissions model that makes sense.

Cloud storage to OneDrive & SharePoint

Content from Dropbox, Box or Google Drive brought across so all your files live in one place.

PST files & email archives

Old archives and departed staff mailboxes imported into the cloud, where they are searchable and governed.

New tenant setup

Starting fresh? A new tenant built properly from day one: domains, users, security baseline, devices and apps.

After the move

Secure and manage the whole tenant

Most cloud security incidents come down to a setting that was never switched on. We close the common gaps during the migration and keep them closed afterwards.

Identity & access

Entra ID users and groups, multi-factor authentication, conditional access, single sign-on and a clean joiner, mover and leaver process.

Email security & deliverability

Anti-phishing and anti-spoofing policies, safe links and attachments, mail flow rules, and SPF, DKIM and DMARC so your mail is trusted.

Devices with Intune

Laptops and phones enrolled with security baselines, apps deployed centrally, Windows Autopilot for new starters, and remote wipe for lost devices.

Backup & recovery

Independent backup for mail, SharePoint and OneDrive, with tested restores — because built-in retention protects the service, not every deleted folder.

Teams & SharePoint governance

Team and site structure, guest access rules, retention and version policies, so collaboration stays organised as you grow.

Copilot readiness

Copilot reads whatever your staff can already open. We tighten over-shared files, retire stale content and help you license the people who will actually use it.

Our process

How a migration works with 1800GEEK

A structured, security-first approach — planned around your working hours, with nothing changed until you have approved the plan and the cost.

  1. 01

    Discovery & assessment

We inventory mailboxes, files, domains, devices and licences, and flag risks before anything moves.

  2. 02

    Plan & design

Target tenant design, identity model, security baseline and cutover schedule — in a written plan and quote you approve.

  3. 03

    Pilot

A small group moves first, so we can confirm data, devices and sign-in work exactly as expected.

  4. 04

    Migration

The rest of the organisation moves in scheduled waves outside working hours, with mail flowing throughout.

  5. 05

    Validation

We check mail, files, permissions, phones, shared calendars and printers, and fix anything that was missed.

  6. 06

    Adoption & ongoing management

Help for your team on day one, then optional managed IT to keep the tenant secure, licensed correctly and up to date.

FAQ

Questions businesses ask before migrating

1800GEEK® is a managed IT company and a brand of Geek Of States LLC, working with businesses across the USA and Canada. We are a Microsoft Partner (Partner ID 6545613), not Microsoft itself; Microsoft 365, Outlook, Teams and SharePoint are trademarks of Microsoft Corporation.

It depends on the number of users, how much mail and data there is, and where it is coming from. After the discovery stage we give you a written schedule, including the pilot and the cutover date, before any work begins.

That is what we plan around. Mail keeps flowing during the move, and we schedule the cutover for evenings or weekends so your team starts the next working day on the new system.

Yes. Existing mail, folder structure, contacts, calendars and files come across as part of the migration. We confirm what is transferring before starting and check it with you afterwards.

Yes. As a Microsoft Partner, we can supply your subscriptions, so your licences and your IT management come from one place. We recommend the plan that fits each user, so you are not paying for features nobody uses. If you already buy directly from Microsoft, you can keep doing so and we will work in your existing tenant.

An administrator account that you create and control, and that you can revoke at any time. We never ask individual users for their passwords. See our Trust & Security page for how we work.

Yes. Before licensing Copilot we check the things that decide whether it works well: file sharing permissions, stale content, and who genuinely needs it. Starting with a small group and reviewing real usage is usually cheaper than licensing everyone on day one.

Yes. We configure and manage mail, Teams and file access on Windows, Mac, iOS and Android devices.
